January 27th, 2014 Parker Toastmasters Leadership Meeting @ 7 pm
Michelle Devore discussed filling roles for an upcoming speech contest and coordinating that with the club contest (2 weeks out). She also discussed formalizing and improving the mentor program. She talked about creating a contract for mentorship whereby the mentoree will set the goals.
Todd Williams presented a spreadsheet of the budget. He discussed using Paypal to pay membership dues, pro-rated membership dues, filling out membership sheets ahead of time with pre-calculated fees. He talked about the clubs biggest expense so far being the website. Other expenses include supplies. He also talked about donations and putting new members into the system.
Ashley Jones discussed using a receipt book so they know exactly what members paid. Making membership kits for the month that include a president’s message, a personal letter, and who the club contacts are. She also discussed creating a VP or PR brochure to communicate why Parker TM is the best club, personalizing membership kits, and driving new guests to the club. She wants new members to understand how we developed as well as ask them what they want from their experience. Ashley discussed improving the efficiency of joining the club. She also talked about going back to beginning to July of 2013 to try to get in contact with folks who no longer show up. Ashley and the group also discussed the toastmaster pledge, and new member protocol with awards.
Ryan McGee discussed keeping track of the membership list, written minute protocol, term limits, and keeping minutes for officer meeting for more TM club transparency.
Nikita Kazakov discussed making videos, succession planning for the next leadership team and making more efficient membership sign up. He discussed streamlining communication and having sign up on the spot with electronic signatures. He discussed a possible meet up group and Eric Dunham said that that expense could be paid through the district. He said he would speak with Marcy and find out if we can get meetup.com paid for through the district. The group talked a little more about promotion suggesting putting flyers in Starbucks and handing business cards to those who are interested in Parker Toastmasters.
Nina Minary updated the leadership team on the goals of the club and what we need to accomplish. She discussed updating the email list of everyone and improving the agenda. She discussed meeting protocol of how the toastmaster should be responsible for the word of the day and put it on the agenda as well as communicating speech length and time.
The group discussed open speech and all agreed that speeches should stay open. Parker Toastmasters is a safe place to fail, learn, and to get back up and succeed.
Eric Dunham talked about upcoming events and possible speech contests and debates in May or early June contest with other clubs. Eric also suggested conducting toastmaster elections in early April to allow for easy transition.
The group also discussed giving a thank you card and donation of $100.00 to SouthEast Christian Church for their generosity in allowing us to use the room.
